We are using a combination of integrated software systems to achieve a goal of single entry policy processing and paperless files. The central component of these systems is the accounting and management software, Conceptone. With Conceptone we are able to set up consistent work standards with workflows and common documents. Further to that, the same data that is used by our underwriters for binding business flows through to the accounting functions. The elimination of double entry has led to increased efficiency and accuracy, which translates into improved service to our agents. Conceptone will allow us to expand geographically while still maintaining consistent accounting information for all locations. It also has the flexibility to store the level of data required for the aggregate and statistical reporting required by our companies, as well as, by our own management.

    An additional benefit of Conceptone is its integration with several premier industry programs, including Docucorp, RightFax, AMS/Rackley and ImageRight. The integration between Conceptone and RightFax allows us to package the documents required for quoting and binding and fax them directly out of Conceptone. The Rackley rating software uses the data already input into Conceptone to provide a premium quote which is passed back to Conceptone without requiring re-entry of the premiums. Because the data is held in the Conceptone database, getting multiple quotes based on different coverages is simply a matter of changing the variable rating elements. Single entry is carried a step further with the integration between Conceptone and the Docucorp policy issuance system. The data collected in Conceptone during the underwriting process is used by the Docucorp system in the issuance of policies with speed and accuracy. Conceptone’s integration with ImageRight allows us to easily create paper files for both accounting and underwriting. Using electronic files greatly cuts down on time wasted finding files and filing paper documents. The electronic files also provide instant access to all file information for multiple employees, enabling quicker response to agent questions. Another important aspect of ImageRight is the security it provides, both by the ability to limit access to the files, as well as, by the fact that we keep back up copies of the system.

    Another important component of our system is our own EZ Rater. It is a prime example of maximizing profitability. The EZ Rater provides our agents with an instant quote over the Internet and makes available for printing a completed application using the information they have entered. The Rater increases our profitability in several ways. It increases our submissions directly by making it easy for the agent to do business with us. It also helps us by reducing our need for data entry, as the data from the Rater is used by our accounting and policy issuance systems. Because the programming is done in-house we are also able to respond quickly to market demands by adding new lines of business and programs as indicated.
